Thank you all for volunteering to assist the scouts with coordination and safety on their Camporee for 2015.  Here’s a summary of Friday evening’s meeting: Here’s a summary of the 12 volunteers.  We could use a few additional helpers, but we should have enough to do a good job. N0ZYC Nate Fisher KE0AIX Jerome Palas NK0T Curtis Wilson WA0TPN Scott Lowe W0HHF Dick Nelson N0TKC Taryn Colby W0VIB Vicki Bicket KE0DBR Alice Palas N8TWO Mark Colby KE0DIG Harold Lucas N0CF Chris Conklin K0CQH Dave Mafarlane Channel 1 will be 146.490, and will be the primary channel for most communications.  Channel 2 will be 146.580, and is reserved for emergency use and long traffic that would otherwise interfere with normal communications during the ride.  If you have an emergency or long traffic, switch yourselves to Channel 2 so you can have uninterrupted communications.  Please insure your radios are programmed with these two frequencies the day before the event, and keep a written copy of them with you during the event. The event is on Saturday May 2nd.  All volunteers please meet at Macfarlane Park at 7:45 am.  This park is on the North end of King Road, just north of Bishop Road, in Evansdale.  We will be using two simplex channels for communicate during the event, though we may be coordinating on the 94 repeater prior to getting the bases set up.  Remember to get your HTs AND CELL PHONES on charge the night before, and bring both HTs and cell phones to the event.  Remember to charge and bring any spare batteries as well. When you arrive, you’ll need to pick up items from the scoutmasters.  Mobile volunteers and those at the turnaround points should pick up a basic first-aid kit.  Base volunteers should pick up TWO copies of the scout list.  All three turnaround points will probably be accompanied by at least one scout leader, you’ll want to hook up with them soon after arriving. At or shortly after 8am those based at mile 5, 7.5, and 12.5 should depart to set up at those locations.  Riders for the 2nd and 3rd legs should also leave now and wait at the 5 and 7.5 mile points for riders to arrive.  Our riders will be traveling back and forth over one of three stretches between bases, and will turn around as soon as they get to the next base.  Continue to patrol back and forth between those two base points during the event. Scouts will be released in waves at the start of the event.  The sweeper should depart with the initial wave, and wait at the far-end 12.5 mile turnaround and assist with check-ins there until its time to perform the sweep.  Macfarlane volunteers please make sure that you check-in every scout that departs.  We would like to track scout progress in case someone gets sidetracked, so please check off scouts that pass by your turnaround point even if they are not turning at that location.  ALSO please check them a second time on their return pass.  In this way we will know which two points to search between. The last of the 25 mile scouts should have arrived at the 12.5 point by 10:45.  The sweeper needs to be AT that end point at this time, and will ride the entire route back to Macfarlane.  Any scouts encountered will need to turn around at this point and accompany the sweeper back to Macfarlane for lunch.  Turn-around volunteers please wait at your location until the sweeper passes by, and then head to Macfarlane for lunch.  The sweeper should arrive at Mafarlane (with any stragglers) by 12:00pm. All scouts logged as having left Macfarlane should be marked as having returned at this point.  In the event someone is unaccounted for, we will compare check-in lists and go from there. The entire process will repeat itself at 1:00 pm.  Sweeper should be in position and begin his return ride from the 12.5 point at 2:45 pm.  All riders should be back in Macfarlane by 4pm.  The second round list will be checked before we pack  up. KE0DBR and KE0AIX will operate the base at Macfarlane and will remain there throughout the event.  You should probably arrive earlier than the others to get base camp set up and be on the air for early coordination as the other volunteers are arriving in. (7:30?)  As this is the center of operations for the scouts, this will be our primary base station as well.  You’ll be our primary point of coordination with the scouts in general, and will be the center of the hub for distributing information to the rest of the group.  Do your best to keep track of the riders. N0TKC and W0VIB will operate the turnaround point at the 5 mile point from Macfarlane.  This is located at the east end of East Eagle Road, which is about 1/3 of the way from LaPorte City toward Gilbertville.  You will need to get to your turnaround and get set up prior to the arrival of the scouts, and will have the least amount of time to do so.  Please identify and coordinate with the leader that will accompany you as soon as possible after you arrive at Macfarlane in the morning.  If you have time-consuming antenna raising to do, you might want to do that before you go to Macfarlane at 7:45. WA0TPN (with one of the scout leaders) will operate the base at the 7.5 mile point from Macfarlane.  This is located east on Miller Creek Road, which starts at the south end of Girsch Road, and is about 2/3 of the way from LaPorte City to Gilbertville.  Please identify and coordinate with the leader that will accompany you as soon as possible after you arrive at Macfarlane in the morning.  You will need to get to your turnaround and get set up prior to the arrival of the scouts. KE0DIG (with one of the scout leaders) will operate the base at the 12.5 mile point from Macfarlane.  This is located on Weiden Road, just north of Millerdale Court, about midway between Gilbertville and Evansdale.  Please identify and coordinate with the leader that will accompany you as soon as possible after you arrive at Macfarlane in the morning.  You will need to get to your turnaround and get set up prior to the arrival of the scouts, though it will be awhile before they arrive. Sweeper (N8TWO) and the first leg riders (N0ZYC and K0CQH) will depart with the first wave.  At the first turn-around (5mi), the sweeper will continue, while the riders will begin the return to Gilbertville, and repeat that circuit until the sweeper returns. (then return to Macfarlane)
